This Privacy Policy explains how Chippewacab ("Chippewacab," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when you visit https://www.chippewacab.com/ (the "Website"), request a quote, subscribe to our newsletter, or otherwise communicate with us. It also describes the choices and rights you may have regarding your information.
1. Who We Are
Chippewacab is a United States–based home services company. We provide septic pumping, repair, and inspection; spray foam insulation; bathroom remodeling; tree care and arborist services; and basement waterproofing and crawl space encapsulation. We primarily serve homeowners and property owners in and around Knoxville, Tennessee (East Tennessee) and Port Charlotte, Florida (Charlotte County and Southwest Florida).
For the purposes of this policy, Chippewacab is the business responsible for deciding how and why your personal information is processed. Under the European Union and United Kingdom General Data Protection Regulation (GDPR), this makes us the "controller" of your personal data. Under various U.S. state privacy laws, we would be considered the "business" or "controller," as applicable.
2. Scope of This Policy
This policy applies to personal information we collect:
- Through the Website, including our contact and quote request form, newsletter sign-up field, and cookie consent banner;
- Through email, telephone, or text message communications you initiate with us or consent to receive;
- In connection with scheduling, estimating, and performing home services for you; and
- From third parties, such as referral sources, as described below.
This policy does not apply to information collected by third-party websites, platforms, or services that we may link to, or that link to us. The Website is intended for a general audience of U.S. homeowners and property owners; it is not directed to children.
3. Information We Collect
We aim to collect only the information we reasonably need to respond to you, provide our services, and operate the Website securely. The Website is a static site: it does not have user accounts, logins, or online payment processing, and it does not use third-party analytics or advertising trackers at this time.
3.1 Information you provide to us
When you use our contact or quote request form, you may provide:
- Name — so we know how to address you;
- Email address — so we can reply to your inquiry and send estimates or scheduling details;
- Phone number — so we can call or, with your consent, text you about your request;
- Service of interest — for example, septic service, spray foam insulation, bathroom remodeling, tree care, or basement waterproofing;
- City and/or ZIP code — so we can confirm that your property is within our service area;
- Message — any details you choose to share about your project, property, or schedule; and
- Consent confirmation — a record that you checked the consent checkbox acknowledging this Privacy Policy and agreeing to be contacted about your request.
When you subscribe to our newsletter, you provide your email address. When you email, call, or text us, we receive the contents of your communication and associated contact details. When we provide services, we may also collect your service address, property details (such as photos, measurements, access instructions, or the location of a septic tank or utility lines), billing information, and records of the work performed.
3.2 Information collected automatically
Like virtually all websites, our Website is served by a hosting provider whose servers automatically record certain technical information when your browser requests a page. These server logs may include:
- Your Internet Protocol (IP) address;
- Browser type and version (the "user agent"), and operating system;
- The date and time of your request;
- The page or file requested and the referring page, if any; and
These logs are used for security, troubleshooting, and keeping the Website available. We do not use them to build profiles of individual visitors. In addition, the Website stores a small number of items in your browser's local storage and session storage, such as your cookie consent choice. These are described in Section 6 and in our Cookie Policy.
All fonts and scripts used by the Website are self-hosted on our own domain. We do not load resources from third-party content delivery networks, font services, social media widgets, or advertising networks, which means those third parties do not receive your IP address simply because you visited our pages.
3.3 Information from third parties
We may receive limited information about you from other sources, such as:
- A neighbor, realtor, or property manager who refers you to us with your permission;
- Publicly available property records (for example, to confirm a property address or lot boundaries when planning tree work or septic service); and
- Service providers that help us operate our business, such as an email service provider that tells us whether a message was delivered.
4. How We Use Your Information
We use personal information for these purposes:
- Responding to inquiries — answering questions and following up on quote requests you submit;
- Providing services — preparing estimates, scheduling visits, confirming site access, performing work, and following up after service;
- Customer communications — sending appointment confirmations, reminders, updates about weather-related delays, invoices, and service-related notices;
- Newsletter and marketing — if you subscribe, sending seasonal maintenance tips and occasional updates about our services, which you may stop at any time;
- Operating and securing the Website — keeping the site available, detecting and preventing spam, abuse, fraud, and security incidents;
- Legal and compliance — keeping business and tax records, complying with laws, permits, and regulations, responding to lawful requests, and establishing or defending legal claims; and
- Remembering your preferences — honoring your cookie consent choice and personalizing a thank-you message after you submit a form.
We do not use your personal information for automated decision-making that produces legal or similarly significant effects, and we do not use it to profile you for targeted advertising.
5. Legal Bases for Processing (EEA and UK Visitors)
Our services are offered in the United States, but we recognize that visitors from the European Economic Area (EEA), the United Kingdom, or Switzerland may access the Website. Where the GDPR or UK GDPR applies, we rely on the following legal bases:
| Purpose | Legal basis |
|---|---|
| Responding to your inquiry or quote request | Steps taken at your request before entering into a contract; our legitimate interest in responding to people who contact us |
| Providing and invoicing services | Performance of a contract |
| Sending the newsletter and marketing emails | Your consent, which you may withdraw at any time |
| Storing your cookie consent choice | Legal obligation (to record consent) and legitimate interest in remembering your choice |
| Future optional analytics (if introduced) | Your consent |
| Server logs, security, and fraud prevention | Our legitimate interest in operating a secure and reliable website |
| Record keeping, tax, and legal compliance | Compliance with legal obligations |
| Establishing or defending legal claims | Our legitimate interests |
You may object to processing based on legitimate interests as described in Section 14.
6. Cookies and Local Storage
The Website uses browser storage in a minimal way. When you first visit, a cookie consent banner asks for your choice, and that choice is saved in your browser's localStorage so the banner does not reappear on every page. If you submit our form, your first name may be kept temporarily in sessionStorage so our thank-you page can greet you; it is cleared when you close the browser tab. This data stays on your device.
We do not currently use third-party analytics, advertising cookies, tracking pixels, or social media trackers. If we decide to add analytics in the future to understand how the Website is used, we will do so only with your prior consent through the cookie banner, and we will update this policy and our Cookie Policy before doing so. For full details, including how to withdraw consent and clear stored data, please see the Cookie Policy.
7. How We Share Information
We share personal information only as needed to operate our business and provide services, and only with parties that have a legitimate need for it. The categories of recipients include:
- Service providers (processors) — companies that process information on our behalf and under our instructions, such as our website hosting provider, email and form-delivery providers, newsletter service, business productivity and file storage tools, scheduling and invoicing software, and payment processors used when you pay an invoice. These providers are contractually required to use personal information only to provide services to us and to protect it appropriately.
- Subcontractors and trade partners — where a job requires it, we may share your name, service address, and relevant job details with licensed subcontractors, equipment rental companies, or disposal facilities that help complete the work.
- Utilities and authorities — where required for your project, we may share your address and job details with utility locate services (such as the 811 "Call Before You Dig" system), local health departments, or permitting offices.
- Legal and safety — law enforcement, courts, regulators, or other parties when we believe in good faith that disclosure is required by law or necessary to protect the rights, property, or safety of Chippewacab, our customers, or others.
- Business transfers — a successor in a merger, acquisition, or sale of our business, subject to this policy's protections.
- With your direction — any other party when you ask us to or give your consent, such as a home inspector or realtor you ask us to send a septic inspection report to.
8. We Do Not Sell or "Share" Personal Information
Chippewacab does not sell personal information, and we do not "share" personal information for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act as amended by the California Privacy Rights Act (together, "CCPA/CPRA"). We also do not process personal information for targeted advertising or profiling as defined under other U.S. state privacy laws. We have not done so in the preceding 12 months. We do not knowingly sell or share the personal information of consumers under 16 years of age.
The table below summarizes the categories of personal information, as described in the CCPA/CPRA, that we have collected in the past 12 months, the sources, the business purposes, and the categories of recipients to whom we disclosed them for a business purpose.
| Category | Examples | Sources | Disclosed to (business purpose) | Sold or shared? |
|---|---|---|---|---|
| Identifiers | Name, email address, phone number, service address, IP address | You; your device; referrals | Hosting, email, and scheduling providers; subcontractors | No |
| Customer records (Cal. Civ. Code § 1798.80(e)) | Name, address, phone, billing details | You | Invoicing and payment providers; accountants | No |
| Commercial information | Services requested, quotes, work performed, invoices | You; our records | Scheduling and invoicing providers; professional advisers | No |
| Internet or network activity | Server log data, browser type, pages requested | Your device | Hosting provider | No |
| Geolocation data (general) | City, ZIP code, service address (not precise device location) | You | Scheduling tools; subcontractors; utility locate services | No |

| Inferences | None drawn for profiling | — | — | No |
| Sensitive personal information | Not intentionally collected | — | — | No |
We retain each category for the periods described in Section 10.
9. U.S. State Privacy Rights
Many U.S. state privacy laws apply only to businesses that meet certain thresholds, such as annual revenue above a specified amount or processing the personal information of a large number of state residents. Depending on our size and activities, some of these laws may not currently apply to Chippewacab. Regardless of whether a particular law applies to us, we believe in transparency and will make reasonable efforts to honor the requests described below for all our customers and visitors.
9.1 California
If you are a California resident and the CCPA/CPRA applies, you may have the right to: know what personal information we collect, use, and disclose; access a copy of specific pieces of personal information; correct inaccurate personal information; delete personal information, subject to exceptions; opt out of sale or sharing (which we do not do); limit the use of sensitive personal information (which we do not collect for inferring characteristics); and not be discriminated against for exercising these rights.
9.2 Virginia, Colorado, Connecticut, Utah, and Texas
Residents of Virginia (Virginia Consumer Data Protection Act), Colorado (Colorado Privacy Act), Connecticut (Connecticut Data Privacy Act), Utah (Utah Consumer Privacy Act), and Texas (Texas Data Privacy and Security Act) may, where those laws apply, have rights to confirm whether we process their personal data; access it; correct inaccuracies (except in Utah); delete it; obtain a portable copy; and opt out of targeted advertising, the sale of personal data, and certain profiling. Several of these states also provide a right to appeal our decision on your request. Colorado and Connecticut, among others, require recognition of universal opt-out mechanisms such as Global Privacy Control.
9.3 Tennessee
The Tennessee Information Protection Act (TIPA) took effect July 1, 2025, and gives Tennessee residents, where the law applies, rights similar to those described above: to confirm and access personal information, correct inaccuracies, delete personal information, obtain a portable copy, and opt out of the sale of personal information, targeted advertising, and certain profiling. TIPA applies to businesses that meet specific revenue and data-volume thresholds. Because Knoxville is one of our core service areas, we extend these rights to Tennessee customers as a matter of good practice.
9.4 Florida
The Florida Digital Bill of Rights provides certain privacy rights to Florida residents but applies only to a narrow group of very large businesses that meet high revenue and other criteria. It is unlikely to apply to us, but our Port Charlotte–area customers may submit access, correction, and deletion requests to us, and we will respond in good faith.
9.5 Other states
Several other states have adopted similar laws; residents may contact us to exercise comparable rights. We will not discriminate against you, charge you different prices, or provide a different level of service because you exercised a privacy right.
10. Data Retention
We keep personal information only as long as reasonably necessary for the purposes described in this policy, including to satisfy legal, tax, accounting, warranty, and insurance requirements. When information is no longer needed, we delete it or de-identify it. The following table shows our typical retention periods; actual periods may be longer where required by law or where information is needed for an ongoing dispute.
| Type of information | Typical retention period |
|---|---|
| Quote requests that do not result in a job | Up to 24 months after the last contact |
| Customer, job, and invoice records | Up to 7 years after the job is completed, to meet tax, warranty, and insurance needs |
| Septic inspection and service records | Up to 7 years, or longer where a local authority requires records to be kept |
| Newsletter subscription data | Until you unsubscribe, plus a suppression record so we do not email you again |
| Email and text correspondence | Up to 3 years after the last communication, unless tied to a job record |
| Hosting server logs | Typically 30 to 90 days, according to the hosting provider's settings |
| Cookie consent choice (localStorage) | Stored on your device until you clear it or change your choice |
| Thank-you page personalization (sessionStorage) | Until you close the browser tab |
| Privacy request records | At least 24 months, as some state laws require |
11. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, misuse, and unauthorized access, disclosure, alteration, or destruction. These include encrypted HTTPS connections, self-hosted fonts and scripts, need-to-know access controls, multi-factor authentication for business accounts where available, and reputable service providers.
No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. If we become aware of a data breach that affects your personal information, we will notify you and the appropriate authorities as required by applicable law, including Tennessee and Florida breach notification statutes.
12. Children's Privacy
The Website and our services are intended for adults, specifically homeowners, renters with authority to arrange work, and property managers. We do not knowingly collect personal information from children under 13 years of age, consistent with the Children's Online Privacy Protection Act (COPPA). We also do not knowingly sell or share the personal information of anyone under 16. If you are a parent or guardian and believe your child has provided us with personal information, please contact us at [email protected] and we will delete it promptly.
13. International Transfers
Chippewacab is based in the United States, and our service providers primarily store and process information in the United States. If you access the Website from outside the United States, your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. Where the GDPR or UK GDPR applies to such transfers, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses or a provider's certification under the EU-U.S. Data Privacy Framework, where available.
14. Your Rights and How to Exercise Them
Depending on where you live, you may have some or all of the following rights:
- Access / right to know — to confirm whether we process your personal information and receive a copy;
- Correction — to correct inaccurate information;
- Deletion — to ask us to delete information, subject to legal exceptions (for example, invoices we must keep for tax purposes);
- Portability — to receive information in a portable, commonly used format;
- Opt out — of sale, sharing, targeted advertising, and profiling (we do not engage in these);
- Restriction and objection (EEA/UK) — to restrict or object to certain processing;
- Withdraw consent — at any time, without affecting processing that occurred before withdrawal; and
- Complaint (EEA/UK) — to lodge a complaint with your local data protection authority.
14.1 How to submit a request
Email us at [email protected] with the subject line "Privacy Request." Tell us which right you wish to exercise, your name, the email address or phone number you used with us, and, if applicable, your service address. We will acknowledge your request within 10 business days and aim to respond substantively within 45 days. Where permitted, we may extend this by 45 days and will tell you if we do.
14.2 Verification
To protect your information, we must verify that you are the person the request concerns. We will typically do this by matching information you provide with information in our records, such as confirming your email address, phone number, or details of a past quote or job. For requests involving more sensitive records, we may ask for additional information.
14.3 Authorized agents
Where state law allows, you may use an authorized agent to submit a request on your behalf. We may require the agent to provide proof of your signed written permission or a valid power of attorney, and we may still ask you to verify your identity directly with us.
14.4 Appeals
If we decline to take action on your request, we will explain why. If you disagree with our decision, you may appeal by replying to our response or emailing [email protected] with the subject line "Privacy Appeal." We will respond to appeals within 60 days, or within the time required by applicable law, and explain the outcome. If your appeal is denied, you may contact the attorney general of your state.
15. Do Not Track and Global Privacy Control
There is no common standard for responding to "Do Not Track" (DNT) browser signals, so the Website does not change its behavior in response to them. However, because we do not engage in cross-site tracking, targeted advertising, or the sale of personal information, there is no tracking for a DNT signal to switch off.
Global Privacy Control (GPC) is a browser signal that communicates a request to opt out of the sale or sharing of personal information. We treat a GPC signal as a valid opt-out request for the browser that sends it. If we add optional analytics, we will treat GPC as a refusal of non-essential tracking.
16. Marketing Communications and Unsubscribing
If you subscribe to our newsletter, we will send you occasional emails such as seasonal maintenance reminders, storm preparation tips, and news about our services. Every marketing email includes an unsubscribe link, and you can also unsubscribe by emailing [email protected]. We will process unsubscribe requests promptly and within the time required by the CAN-SPAM Act. We may still send transactional messages, such as appointment confirmations and invoices.
Submitting a quote request does not automatically subscribe you to our newsletter. We will add you to marketing lists only if you separately sign up.
17. SMS and Phone Contact Consent
When you provide your phone number on our form and check the consent box, you agree that Chippewacab may call or text you at that number about your inquiry, quote, scheduling, and service. We respect the Telephone Consumer Protection Act (TCPA) and similar state laws, including Florida's telemarketing rules. In particular:
- We will not send marketing text messages or place marketing calls using automated technology without your prior express written consent;
- Consent to receive marketing messages is never a condition of purchasing any service;
- Message frequency varies depending on your request, and message and data rates may apply;
- You can opt out of text messages at any time by replying STOP, and reply HELP for assistance; and
- You can ask us to stop calling you by telling us during a call or emailing [email protected].
We do not sell or share your phone number or text messaging consent with third parties for their marketing purposes.
18. Third-Party Links
Our Website and blog articles may link to other websites, such as government agencies or industry organizations. We do not control those websites and are not responsible for their content or privacy practices. We encourage you to read the privacy policy of any website you visit.
19. Changes to This Policy
We may update this Privacy Policy from time to time, for example if we introduce optional analytics. When we make changes, we will update the "Last updated" date at the top of this page. If the changes are material, we will provide more prominent notice, such as a notice on the Website or an email to newsletter subscribers, and, where required by law, we will seek your consent.
